Allow limited visibility to applications that are not assigned to users

The data in KYCP is all stored in Applications. Applications are similar to the concept of a CASE FILE whereby all the information relating to the subject (be it an individual or a legal entity) is stored and visualised in a central location including all the related parties, data and documentation.

This new feature relates to the access that is given to users to such applications across the solution. There are various ways how this can be setup in KYCP depending on the preferences of the client. You can setup the solution in a way where all applications can be seen by all users. An application can also be assigned to TEAMS or USERS. This feature can be used to limit users to be able to only access the applications they are assigned to. This can be setup at user level by ticking the following setting.

The new feature that has been launched allows you to set further access to such users. The below image shows the configuration options at user level. The second new option can only be set for users who are only allowed to access Applications that are assigned to them.

If the new option is ticked, such users would be able to search and view (in the results tab) any other applications that are not assigned to them, however, they would not be able to click open the application itself. The user would only be able to see the data that is presented in the results screen of any search.

As an example, here is a screenshot of the main panel of KYCP showing only the two applications that this user has been assigned to. This is how KYCP currently works and will keep working unless the above new setting is enabled. Without this setting the user will only ever be able to see and search these records.

Enabling the above new feature would allow the user to search all other applications (that are not assigned to them) in the following way.

The below is an example of a search across KYCP. In this instance the solution is showing all the records that resulted in a match. The one record highlighted in yellow is the application that the user is assigned to and can normally access and work on the application.

All the other records however are applications that are not assigned to the user. In this case (marked in red above) the user can see the results but cannot open / click on the applications.

The existing right “Can see all applications” over-rides this new feature.

This new feature came as a result of a business requirement whereby the business wanted the users to be aware of the existence of other records within the application, but with limited visibility as to the respective case details within the application.
